APS4 Executive Assistant

SOS Recruitment is currently recruiting an experienced Executive Assistant to join this fantastic Department that is known for their positive culture and their supportive environment. These opportunities will be offered on an initial 6 month hourly rate contract commencing ASAP.

Working as the Executive Assistant, you will be responsible for ensuring smooth management and organisation of the Executives’ office, using excellent judgement to identify, delegate and escalate priorities as they arise. Your duties may include;

  • Extensive diary and inbox management – prioritisation of email correspondence, coordination of meeting requests including room bookings, invites and agendas for meetings and appointments.
  • Co-ordinate preparation of high quality written presentations, ministerial briefs, submissions and letters for the Executive, including drafting some material.
  • Co-ordinate travel; including flight and accommodation booking, travel allowances and reimbursements.
  • Develop and maintain effective, professional relationships with a range of internal and external stakeholders
  • Manage finances; including credit card reconciliations, payment of invoices, purchase orders and financial reports. Using excellent judgement, establish and manage requests for information and escalate priorities.

    To succeed in this role, you will possess;

  • Excellent interpersonal skills and an advanced level of oral and written communication.
  • Highly developed planning and organising skills, including the ability to proactively problem solve, manage conflicting priorities and achieve results in tight timeframes.

  • A personable yet professional manner
  • Experience working as an Executive Assistant within the APS.

  • Finance Officer

    Our client, a not-for-profit organisation located in Canberra's inner south is looking for a Finance Officer for a short term contract through until late December with the possibility of extension.

    The Finance Officer will be responsible for providing financial and administrative support services to ensure the effective and efficient recovery of outstanding monies. Duties:

  • Accounts receivable/payable
  • Engage with external bodies to ensure timely and accurate processing of invoices
  • Banking and management of minor finances
  • Assist in the analysis of revenue and costs for the monthly financial review
  • Check and verify source documents such as invoices, receipts, computer printouts

    Essential requirements:

  • Certificates in Commerce or Accounting
  • Bachelor of Commerce, Certificate IV Accounting or other relevant qualification
  • Knowledge of bookkeeping practices
  • Knowledge of accounting principles and procedures
  • Demonstrated experience working in a dynamic, high volume work environment
  • Knowledge of relevant legislation and regulatory requirements
  • MYOB or Sage Micropay experience

  • APS5 Procurement Coordinator

    Our client, a Federal Government department, is seeking an experienced Procurement Coordinator for a high profile business area responsible for delivering significant commemorative events for Australia and abroad. This role is based in central Canberra and is to start ASAP through until 30 June 2019 with the potential for extension. There are no clearance requirements for this role.

    We are looking for someone who has worked at the APS 5 level who has very good knowledge, understanding and experience in dealing with procurement processes.

    In this role you will be the single point of contact and coordinate information between the business area and the major procurement/contracting area within the department. You will coordinate and develop the Statement of Requirements/Specifications and provide general admin/secretariat support for this and other tasks more generally within the department.

    Ideally you will have experience in:

  • Procurement in Federal Government department
  • Managing end to end RFQ process for Government, preferably at a Federal Level
  • Flexibility and an ability to progress a complex project with many different considerations and stakeholders

    Our client, a Federal Government department is seeking Business Intelligence Analyst at a APS6 level to undertake a contract until January 2019 with the strong possibility of extension.

    The successful candidate will have a strong background in Business Intelligence and visualising complex information Excel and IBM Cognos application (or similar).

    Key responsibilities:

    • undertake business and data analysis and draw accurate conclusions based on evidence

    • using intermediate/advanced Excel proficiencies, present data in a visually appealing way that communicates complex conclusions to stakeholders
